About the Role

As an Executive Support Officer (APS6) you will help senior leaders deliver critical regulatory and operational outcomes by ensuring priorities, correspondence, reporting and governance requirements are managed efficiently and accurately. Working closely with executives, colleagues across the organisation, and a range of internal and external stakeholders, you will coordinate information flow, support decision-making, and maintain strong business operations. You will provide high-quality executive and administrative support, prepare and quality assure briefs and submissions, and help drive timely delivery of projects, commitments and legislative responsibilities. Your work will enable leaders to focus on strategic priorities while ensuring stakeholders receive professional, responsive and effective support.

Key accountabilities

Reporting to the Executive Officer, you are responsible for:

  • Managing correspondence, including monitoring emails, responding to enquiries where necessary, collating and following up information, and tracking high-volume activity to ensure deadlines are met
  • Coordinating and checking that all required information is included in communications and correspondence, including briefings, reports, submissions and notes, to ensure the completeness and timeliness of written information before forwarding to the Executive Officer for accuracy, quality assessment and revision as required
  • Working under limited guidance and acting as the initial point of contact for internal and external stakeholders to action requests, coordinate activities and support agency projects of varying complexity
  • Providing secretariat support to stakeholder meetings, committees and working groups as required
  • Ensuring the National Manager and Senior Director are appropriately prepared to engage with internal and external clients and stakeholders
  • Working collaboratively with Executive Officers and Executive Assistants across AFSA to ensure a coordinated approach that enables the effective flow of information and work
  • Undertaking ad hoc administrative tasks and projects as required

All duties will be performed in accordance with:

  • AFSA’s risk management framework and relevant legislation, including guiding others to identify and mitigate foreseeable risks.

Qualifications and experience

  • Demonstrated experience in provision of administration support with a strong attention to detail, personal integrity and excellent problem-solving skills.
  • Appropriate oral and written communication skills for an APS 6, stakeholder engagement skills and the ability to support colleagues working across tasks to manage competing priorities in a demanding and fast paced environment.
  • Proficient IT skills in the Microsoft Office suite (Word, Excel, Teams, SharePoint and Outlook) and an ability to learn other software specific to the role:
  • CTM travel booking system.
  • Finance One financial management system, and
  • Records Management system.
